Add data to Microsoft Excel when a file is created in OneDrive

Add data to Microsoft Excel when a file is created in OneDrive

Launch this workflow to connect Microsoft OneDrive & Microsoft Excel !
■Overview
Manually transferring information about files saved in OneDrive to a Microsoft Excel management sheet can be time-consuming and prone to errors. File management tends to become increasingly cumbersome as the number of files grows.
With this workflow, you can automate the integration between OneDrive and Microsoft Excel. Whenever a file is created in a specific folder, its information is automatically recorded in a designated Microsoft Excel file, helping you eliminate these challenges with minimal effort.

■Who Should Use This Template
  • Those looking to streamline data transfer between OneDrive and Microsoft Excel
  • Those managing OneDrive file information in Microsoft Excel and looking to prevent missed entries and input errors
  • Those looking to automate routine tasks such as file management and spend more time on higher-value core work

■Benefits of Using This Template
  • Because newly added files in OneDrive are detected and their information is automatically added to Microsoft Excel, you can reduce the time spent on manual work
  • Reduce the risk of human errors such as input mistakes and missed entries that commonly occur during manual data transfer, improving the accuracy of your data management

■How the Flowbot Works
  1. First, connect OneDrive and Microsoft Excel to Yoom
  2. Next, select OneDrive as the trigger and set the action to “When a file is created or updated in a specific folder”
  3. Next, configure a branching operation so that only newly uploaded files proceed to the subsequent steps
  4. Finally, set the Microsoft Excel “Add a record” action and append information such as the file details retrieved by the trigger to the designated file
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customizing This Workflow
  • In the OneDrive trigger settings, you can specify which folder to monitor for newly created or updated files
  • When adding data in Microsoft Excel, you can specify the destination file and flexibly configure the data to add by entering fixed values or embedding information such as the file name retrieved by the previous trigger as variables

■Notes
  • Connect both OneDrive and Microsoft Excel to Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home users and businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • Branching is an operation available on the Personal plan and higher. On the Free plan, the configured Flowbot operation will result in an error.
  • Paid plans such as the Personal plan include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise restricted. For details, see the pricing plans page.
  • Due to app specifications, the file creation date and last modified date may not be the same, which could prevent branching from working correctly.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes. Please note that the shortest available interval varies by plan.
  • For details on configuring operations that work with Microsoft Excel databases, see Configuring Operations for Working with Excel Databases.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • For details on the file size limits for triggers and individual operations, see File Size Limits.
