When a PNG file is added to Box, convert it to any file format with CloudConvert

When a PNG file is added to Box, convert it to any file format with CloudConvert

Launch this workflow to connect Box & CloudConvert !

‍■Overview

Are you spending too much time and effort converting PNG files as part of your daily operations? Manually using file conversion tools can make tasks dependent on specific individuals and lead to simple mistakes. With this workflow, simply store a PNG file in Box, and CloudConvert will automatically convert it to the specified format and save it in the designated folder. Automate these repetitive tasks and create an environment where you can focus on more important work.

■Who Is This Template For?

  • Anyone who manually converts image files using file conversion tools
  • Anyone who uses Box as file storage and wants to streamline recurring file conversions
  • Anyone who wants to automate repetitive tasks such as file conversion and improve productivity across their team

■Benefits of Using This Template

  • Simply upload a file to Box, and the entire process—from converting it to the specified format to saving it—is completed automatically, reducing the time previously spent on manual tasks.
  • Prevent mistakes such as selecting the wrong file or forgetting to save the converted file, helping reduce the risk of human error.

■Flowbot Overview

  1. First, connect Box and CloudConvert to Yoom.
  2. Next, select Box as the trigger and set the “When a file is uploaded to a folder” action. Configure it to run only when the specified file is a PNG.
  3. Use an operation to download the target file from Box.
  4. Use an operation to upload the file to CloudConvert and configure an action to convert it to the desired format.
  5. Use an operation to download the converted file from CloudConvert.
  6. Finally, configure Box’s “Upload a file” action as an operation and save the converted file in the designated folder.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • In the Box trigger settings, enter the ID of the folder you want to use as the starting point for processing. You can also freely specify the folder where the file will ultimately be uploaded.
  • With branching, you can flexibly customize the conditions for subsequent processing based on information obtained in previous steps, such as the file name.
  • Using regular expressions in the data transformation feature, you can freely define naming rules, such as automatically generating the converted file name based on the original file name.
  • In the CloudConvert operation, you can specify the file format you want to convert to, such as JPG, GIF, or PDF.
  • When uploading a file to Box, you can use information obtained in previous steps as variables in the file name, description, and other fields.

■Notes

  • Connect both CloudConvert and Box to Yoom.
  • You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest available trigger interval varies by plan.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be lower than 300 MB.
  • For details on the file size limits for triggers and individual operations, see below:
    See below
  • Branching is an operation available on the Mini plan and above. On the Free plan, operations configured in the Flowbot that use branching will result in an error.
  • Paid plans, such as the Mini plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to restrictions.
  • Flowbots with more than five operations can be configured on the Mini plan and above. On the Free plan, the Flowbot will not start.
