Store attachments in Box when a task is completed in Asana

Store attachments in Box when a task is completed in Asana

Launch this workflow to connect Asana & Box !

■Overview

Tired of downloading attachments and saving them to Box every time an Asana task is completed? This manual process can be time-consuming and increases the risk of files being missed, especially when every file must be stored.
With this workflow, you can automate the integration between Asana and Box, automatically saving attachments to a designated folder when a task is completed.

■Who This Template Is For

  • Anyone who manually moves attachments from completed Asana tasks to Box
  • Anyone who wants to connect Asana and Box to centrally manage project deliverables
  • Anyone who wants to enforce file management rules and prevent files from being missed due to human error

■Benefits of Using This Template

  • Files are automatically saved to Box as soon as an Asana task is completed, reducing the time spent moving files manually.
  • Prevent missed files and incorrect save locations caused by manual processes, helping you standardize and streamline file management in Box.

■Workflow Overview

  1. First, connect Asana and Box to Yoom.
  2. Next, select Asana as the trigger and set the action to “When a task in a specific project is completed.”
  3. Next, use the Asana operation “Get attached file information,” then add a branch so the workflow proceeds only when a file exists.
  4. Then, configure the Asana actions “Get the file download URL” and “Download the file” in sequence.
  5. Finally, save the file using Box’s “Upload file” action.

※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.

■Customization Options

  • When uploading a file to Box, you can set a specific folder ID as a fixed value for the save location or specify custom text for the file name.
  • If you want to dynamically change the file name or destination folder, you can also insert information retrieved in previous operations, such as the Asana task name, as variables.

■Notes

  • Connect both Asana and Box to Yoom.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • The shortest available trigger interval varies by plan.
  • Branches are available as an operation on the Mini Plan and higher. On the Free Plan, operations configured in the workflow will result in an error.
  • Paid plans, including the Mini Plan, come with a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • For details on the file size limits for triggers and individual operations, see below.
