Add a comment to the related Zendesk ticket when a file is uploaded to Dropbox.

Add a comment to the related Zendesk ticket when a file is uploaded to Dropbox.

Launch this workflow to connect Dropbox & Zendesk !
■Overview
When handling customer support in Zendesk while managing related files in Dropbox, notifying tickets and adding comments after uploads tends to be manual, which is time-consuming and can lead to missed updates.
With this workflow, when a file is uploaded to a specific Dropbox folder, AI automatically extracts ticket info from the file name and adds a comment to the related Zendesk ticket, streamlining the handoff.

■Who should use this template
  • If you use Zendesk and Dropbox together and struggle with manual information handoffs
  • If you want to automate adding comments to Zendesk after file uploads to prevent misses
  • If you want to reduce repetitive work in customer support and boost productivity

■Benefits of this template
  • Automatically add comments to Zendesk tickets triggered by uploads to Dropbox, reducing time spent on manual notifications and updates.
  • Prevent human errors such as miscopied file names or ticket numbers and missed comments, ensuring reliable information sharing.

■Flowbot flow
  1. First, connect Dropbox and Zendesk to Yoom
  2. Next, in the trigger, select Dropbox and set the action 「When a file is created or updated in a specific folder」
  3. Next, in an operation, select the AI feature 「Extract text」 and extract info such as the ticket ID from the uploaded file name
  4. Finally, in an operation, set Zendesk’s 「Add comment to existing ticket」 action and add a comment to the related ticket based on the extracted info
※「trigger」:the action that starts the flow、「operation」:the action that runs in the flow after the trigger fires

‍■Customization points for this workflow
  • In the Dropbox trigger settings, you can freely set the target folder path and file name pattern to detect uploads.
  • For AI-based text extraction, configure it to extract the ticket ID and other data needed for downstream steps according to your file-naming convention.
  • For the Zendesk comment, you can embed variables such as the file info obtained earlier in the flow, not just fixed text. You can also choose the comment type: 「Public reply」 or 「Internal note」.

■Notes
  • Connect Yoom with both Dropbox and Zendesk.
  • Zendesk is available on the Mini plan and above. On the Free or Personal plan, configured Flowbot operations and Data Connect will result in errors.
  • Paid plans such as Personal, Mini, Team, and Success offer a 14-day free trial. During the free trial, you can use apps that are otherwise restricted. For details, see the Pricing plans page.
  • You can choose trigger intervals of 5, 10, 15, 30, or 60 minutes.
  • The shortest available interval varies by plan.
