Use AI to review payment records in Google Sheets and automatically send reminder notifications in Slack

Use AI to review payment records in Google Sheets and automatically send reminder notifications in Slack

Launch this workflow to connect Google Sheets & Slack !
■Overview
When managing payment due dates in Google Sheets, the workload involved in identifying outstanding items and sending reminders to those responsible increases as the number of records grows, along with the risk of missed payments. This workflow addresses these challenges by having AI automatically assess payment statuses every day, identify items approaching their due dates, and send reminder notifications in Slack. By reducing manual checks and enabling AI to accurately assess each situation, it helps ease the burden on administrators and keep payment operations on track.

■Who should use this template
  • Accounting professionals who find it challenging to check due dates and send reminders when managing payments in Google Sheets
  • General affairs leaders who manage multiple payment cases and want to prevent outstanding invoices and missed payments
  • Business owners who want to automate daily routine tasks and create an environment that allows them to focus on core business activities

■Benefits of using this template
  • AI automatically checks payment due dates at a set time every day, helping prevent missed visual checks and minimize the risk of late payments.
  • AI handles everything from identifying outstanding items to creating reminder messages in Slack, reducing the time spent on communication tasks.

■Flowbot steps
  1. First, connect Google Sheets and Slack to Yoom.
  2. Next, set a schedule to trigger the flow every day at 10:00 AM.
  3. Finally, to have the AI worker assess payment management data and send notifications, configure Google Sheets' “Get multiple records” action and Slack's “Send a message to a channel” action as the tools to use, then create a manual (instruction) that assesses payment statuses and generates and sends reminder messages.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization options
  • Configure the Google Sheets reference sheet and the range of columns containing payment due dates and statuses to match your current management sheet.
  • Adjust the instructions given to the AI worker to freely customize how many days before the payment deadline notifications are sent and the tone of reminder messages.
  • Slack notifications can be sent not only to a shared channel but also as direct messages to specific people in charge.

■Notes
  • Connect both Google Sheets and Slack to Yoom. The apps used within the AI worker also require My Apps connections.
  • For basic AI worker setup, see “[AI Worker] Basic Setup Guide”.
  • The number of AI workers that can run simultaneously, the number of AI workers you can create, and the AI models available to you vary depending on your plan.
  • The apps and operations available within the AI worker are subject to the same usage limitations as Flowbots.
  • Please note that AI workers consume tasks during test runs just as they do during production runs. For details, see “[AI Worker] How Task Executions Are Calculated”.
  • AI workers are more likely to process tasks appropriately when their manuals are configured in detail. For details, see “[AI Worker] How to Create a Manual”.
