🚀 How to Set Up an Automated Zoom Meeting Minutes Workflow with Slack Integration

Let's walk through how to set up a flow that auto-transcribes Zoom meetings and posts summarized minutes on Slack.

⏱️ Setup time: 10 minutes

🔧 What You’ll Need

 • A free Yoom account
 • Access to Zoom and Slack

If you don’t have a Yoom account yet, register now from this registration form!

⚠️Note: To get Zoom recording data, cloud recording must be enabled. Cloud recording is only available on specific Zoom plans, so please check your plan details.

⚠️ Note: AI Transcription used in this Flowbot is only available in Yoom's certain plans. If you're using the Free plan, the Flowbot may face errors due to limited access. But don't worry - all plans have a 2-week free trial! You can try all features without restrictions. For more details on Yoom and its plans, visit our Yoom Help Center.

Step 1: Connect Zoom and Slack to Yoom

After logging into Yoom, go to "My Apps" from the left side menu and click "+ Add".

Connect Zoom

Search for "Zoom" from the app list and select it.

Enter the Client ID and Client Secret. These can be found after registering for a Zoom account in the App Marketplace.

📚 Reference: For more details on how to find the Client ID and Client Secret for Zoom, refer to this help page.

Connect Slack

Similarly, go to "My Apps" from the left side menu, and click the "+ Add" button.
Search for "Slack" from the app list and select it.

Select the Slack workspace and the channel where messages should be posted.
Click "Allow" to grant permissions and complete the integration.‍

📚 Reference: For more detailed steps on how to connect Slack, refer to this guide here.

Step 2: Copy the Template

Click the "Try It" button to copy the pre-built template into your project.

Click "Try this template".

Click "OK" and assign a name to the Flowbot for recognition.

The template will be copied to your "My Project".

Step 3: Set Up Trigger Action

Click on the Zoom app trigger action.

Give your trigger a title (optional). Check the pre-configured settings and click “Next”.

Set your trigger interval (how often you want Yoom to check Zoom for new updates). It can be set to 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. We recommend setting the trigger to the shortest activation interval available for your plan.

⚠️ Note: The trigger interval varies depending on your Yoom plan. Be sure to check your current plan’s limit.

Then enter the EmailAddress registered with Zoom.

Once the settings are complete, run a test.
If the test is successful, the data will be reflected in the retrieved value

After confirming that the retrieved value is correct, click “Save” to finalize the setup.

📚 Reference: For more details on retrieved values and how to set them up, see the guide here.

Step 4: Get Meeting Record Info

Click on the next Zoom action item.

On the next screen, same as before, give an action a title (optional). Confirm the settings, and click “Next”.

Select the Meeting ID.

Once the settings are complete, run a test. If the retrieved value is correct, click “Save”.

Step 5: Download Meeting Record File

Click on the next Zoom action item.

On the next screen, same as before, give an action a title (optional). Confirm the settings, and click “Next”.

Specify Download URL.
Select the URL retrieved from the previous action.

Once the settings are complete, run a test. If the retrieved value is correct, click “Save”.

Step 6: Transcribe Audio Data

Now let’s set up the action to transcribe audio data. This step involves using AI-powered operations. Click on the Transcription action.

Select the Action based on the length of the meeting time.

Then click “Next”.

Specify the File Attachment Method.

In this case, we want to use the date retrieved from Zoom. So select Use Retrieved Values and Downloaded File to use Zoom’s retrieved data to transcribe the audio.

Once set, click “Test”.
If the test succeeds, the retrieved value will be updated with the transcribed audio.

Step 7: Create a Summary

Let’s set up the last action item to create a summary of the transcribed data. Click on the Summarization action.

On the next screen, same as before, give an action a title (optional). Confirm the settings, and click “Next”.

Specify the text to summarize

In this case, we want to summarize the transcribed data from the previous step. So select the AnalysisResult from the retrieved value into the input box.

Click on the fifth process. Although it is displayed as configured, there are necessary settings to confirm.

Specify the number of characters.

The default setting is 1000 characters. Adjust this based on the length of the analysis result. While you can specify the character count, the final output will be determined by the AI. Please note that the summary may be shorter than the specified number of characters.

☝️Tip: If you want a more concise summary, you can instruct the AI with terms like "more concise" in the summary conditions.

Once configured, click "Test". If the test is successful, a summary will be generated.

Step 8: Share the Result on Slack

Let’s set up to share the summarized content in Slack.
Click on the Slack action item.

On the next screen, same as before, give an action a title (optional). Confirm the settings, and click “Next”.

Select the Channel ID (where you want to share your result) from the displayed options.

Let’s set up the message and post the summarized result to Slack.
Click inside the box and select “Summary Result” from the previous action’s retrieved value. By configuring it as below, you can automatically use the AI’s translated message and post it to Slack.

You can customize the message as needed.

When you run a test, a test message will be sent to Slack. If the translation result is correctly sent, click “Save”.

Step 9: Activate the Flowbot

Toggle the "Trigger On" button to activate your flow!

Check if the Flowbot you set up is working properly.

That’s it! 🎉 The Flowbot is now complete!
