Use OCR to read files stored in Box and create new pages in Confluence

With this workflow, when a file is uploaded to Box, OCR automatically extracts the text and creates a new page in Confluence based on the extracted content. This streamlines manual data entry and enables fast, accurate information sharing.

■Workflow Steps

1. First, connect Box and Confluence to Yoom.
2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
3. Then, set the Box “Download a file” action as an operation and specify the file detected by the trigger.
4. Next, set the OCR “Extract text from images and PDFs” action as an operation to convert the downloaded file into text.
5. Finally, set the Confluence “Create a page” action as an operation to create a new page based on the text extracted by OCR.

※ “Trigger”: An action that starts the workflow. “Operation”: An action that performs processing within the workflow after the trigger starts.

■Customization Options

• In the Box trigger settings, specify the content ID of the folder you want to include in the automation.
• For the OCR action, you can configure options such as branching subsequent actions based on character count, extracting only specific fields, selecting the AI model to use, and specifying the language of the documents to process.
• For the Confluence page creation action, configure options such as the cloud ID and space ID where the page will be created, as well as the page’s publishing status.

■Notes

• Connect both Box and Confluence to Yoom.
• The OCR AI operation is available only on the Team and Success Plans. On the Free and Mini Plans, operations configured in the workflow will result in an error.
• Paid plans such as the Team and Success Plans include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
• The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.

• OCR may not be able to read data containing more than 6,500 characters or text that is too small.
