Read proposals uploaded to Box with OCR, summarize them with AI, and send notifications to Discord

Manually reviewing proposals and meeting notes uploaded to Box, summarizing their contents, and sharing them with your team can be time-consuming. With this workflow, whenever a file is uploaded to Box, Yoom’s OCR feature extracts the text, AI summarizes the content, and the summary is automatically sent to Discord. This helps you share information faster and streamline your operations.

■Flowbot Steps

1. First, connect Box and Discord to Yoom.
2. Next, select Box as the trigger and set the “When a file is uploaded to a folder” action.
3. Next, set the Box “Download a file” action as an operation and specify the file detected by the trigger.
4. Next, set the OCR “Extract text from an image or PDF” action as an operation to extract text from the downloaded file.
5. Next, set the AI “Summarize” action as an operation to summarize the extracted text.
6. Finally, set the Discord “Send a message” action as an operation to notify the specified channel of the summary generated by AI.

※“Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.

■Customization Options

• In the Box trigger settings, specify the content ID of the folder you want to monitor.
• In the Box file download settings, you can specify the content ID of the file to process.
• In the OCR settings, you can configure options such as how to attach the file, the fields to extract, the AI model to use, and the language.
• In the AI summarization settings, you can configure options such as the desired summary length, summarization requirements like “Use bullet points,” and the language.
• In the Discord message settings, specify the ID of the channel where you want to send notifications.

■Notes

• Connect both Discord and Box to Yoom.
• The AI operations for OCR and audio transcription are available only on the Team and Success Plans. On the Free and Mini Plans, the configured Flowbot operations will result in an error.
• Paid plans, including the Team and Success Plans, offer a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
