When a video file is uploaded to Box, extract the audio, transcribe it, and add it to Notion

When a video file is uploaded to Box, extract the audio, transcribe it, and add it to Notion

Launch this workflow to connect Notion & Box !

■Overview

How do you document the content of meeting and seminar videos stored in Box? Manually transcribing each video while playing it back takes time and can take you away from other important tasks. With this workflow, simply upload a video file to Box. AI automatically extracts the audio, transcribes it, and saves the result to Notion—eliminating tedious manual work and improving your productivity.

■Who is this template for?

  • Anyone who manually creates meeting minutes or transcribes videos stored in Box
  • Anyone who manages meeting or interview records in Notion and wants to streamline data entry
  • Anyone who wants to automate the entire process, from sharing video content to converting it into text

■Benefits of using this template

  • From uploading a video to Box to transcribing it and saving the result in Notion, the entire process is completed automatically, freeing up time for other tasks.
  • Prevent human errors such as mishearing, typing mistakes, and missed entries during manual transcription, helping improve the accuracy of your transcription data.

■Flowbot steps

  1. First, connect Box and Notion to Yoom.
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
  3. Then, set the Box “Download a file” action as an operation to retrieve the file detected by the trigger.
  4. Next, set Yoom’s AI operation, “Transcribe audio data,” to generate text from the downloaded file.
  5. Finally, set Notion’s “Add a record” action as an operation to add the generated text data to the specified database.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization options

  • In the Box trigger settings, specify which folder’s uploaded files should be included.
  • With the AI transcription feature, you can customize which items to extract from the audio data, such as whether to separate speakers.
  • When adding a record to Notion, you can specify the destination database or page and insert values obtained earlier, such as the file name and transcription text, as variables.

■Notes

  • Connect both Box and Notion to Yoom.
  • The AI operation for transcribing audio is available only on the Team and Success Plans. Please note that Flowbot operations configured on the Free or Mini Plan will result in an error.
  • Paid plans, including the Team and Success Plans, come with a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • See below for details on the file size limits supported by the trigger and each operation.
