■Workflow Steps
- First, connect Google Forms and Microsoft Excel to Yoom.
- Next, select Google Forms as the trigger and set the action to “When a response is submitted to the form.”
- Then, select Microsoft Excel as an operation and use the “Retrieve records” action to retrieve the existing data.
- Next, configure branching in the operation to determine whether the form response already exists in the existing records.
- Finally, configure the Microsoft Excel “Add a record” action to add new data only when no duplicate is found.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
- You can replace Google Forms set as the trigger with other form creation tools integrated with Yoom, such as formrun or Typeform.
- You can customize Microsoft Excel to other database apps, such as Google Sheets or kintone.
- You can set the branching conditions to check for duplicates based on any fields relevant to your business, such as email addresses or phone numbers.
■Notes
- Make sure to connect both Google Forms and Microsoft Excel to Yoom.
- Microsoft 365 (formerly Office 365) offers plans for home use and plans for organizations (Microsoft 365 Business). Authentication may fail if you are not subscribed to an organization plan.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Personal plan and higher. On the Free plan, the configured workflow operation will result in an error.
- Paid plans, such as the Personal plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to restrictions.
