■Overview
Do you manage real estate information in Notion but find it time-consuming to review the content and notify relevant stakeholders every time a page is updated? This workflow uses Notion page updates as a trigger, allowing AI to automatically organize the information needed for real estate management and send notifications via Gmail. Reduce the time spent on manual reviews and communication, and enable smoother information sharing.
■Who This Template Is For
- Real estate professionals who manage property information and other data in Notion
- Those who want to use AI to automate routine information checks and notifications to relevant stakeholders
- Team leaders who want to prevent missed or delayed communications that can occur with manual information sharing
■Benefits of Using This Template
- Automate the entire process from Notion updates and information checks to Gmail notifications, reducing the time previously spent on manual tasks.
- AI processes information based on defined rules and sends notifications automatically, helping prevent human errors such as missed reviews and incorrect notification content.
■Flow Bot Steps
- First, connect Notion and Gmail to Yoom.
- Next, select Notion as the trigger and set the action to “When a page is created or updated.”
- Set “Branch” as an operation so that subsequent steps run only when specific conditions are met.
- Next, configure Notion’s “Retrieve a record (ID search)” action to obtain more detailed information about the page retrieved by the trigger.
- Then, configure the AI feature’s “Generate text” action to create notification content based on the information retrieved from Notion.
- Finally, configure Gmail’s “Send an email” action to send an email to the specified address with the AI-generated text included in the body.
※“Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.
■Customization Options
■Customization Options
- In the Notion trigger settings, enter the ID of the database you want to automate.
- With the branching feature, you can freely customize the conditions for running the process based on the properties of the page retrieved from Notion, such as when the status changes to “Ready for Listing.”
- With the text generation feature, you can reference values such as property information retrieved from Notion and configure prompts tailored to your needs, such as “Summarize this property’s key features in three points.”
- You can change the notification destination from Gmail to other communication tools, such as Discord or Slack.
■Notes
- Connect both Notion and Gmail to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Personal plan and higher. On the Free plan, operations configured in the flow bot will result in an error.
- Paid plans, such as the Personal plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to restrictions. For details, see the Pricing Plans page.
