■Overview
Are you spending too much time reviewing every new file uploaded to Box, creating FAQ content, and manually adding it to Notion?
Manual data entry can also lead to issues such as missing information and inconsistent formatting.
With this workflow, every file upload to Box triggers AI to automatically generate FAQ content and add it to Notion, helping you resolve these challenges effortlessly.
■Who this template is for
- Anyone using Box and Notion who wants to streamline FAQ creation and knowledge sharing
- Anyone looking to reduce the effort involved in content creation by leveraging AI
- Anyone looking to improve work quality by reducing manual data transfers, entry errors, and omissions
■Benefits of using this template
- When a file is added to Box, everything from generating FAQ content to adding it to Notion is automated, reducing the time previously spent on manual work.
- By eliminating manual information extraction and transfer, this workflow helps reduce the risk of human errors such as input mistakes and missing information.
■Flow bot steps
- First, connect Box and Notion to Yoom.
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
- Then, set the Box “Download a file” action as an operation to retrieve the uploaded file.
- Next, set the OCR “Extract text from an image or PDF” action as an operation to extract text information from the downloaded file.
- Then, set the text generation “Generate text” action as an operation to have AI create FAQ content based on the extracted text.
- Finally, set the Notion “Add a record” action as an operation to add the generated FAQ content to the specified database.
※“Trigger”: An action that initiates a flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
- In the Box trigger settings, specify the content ID of the folder where the files used as the source for the FAQs will be uploaded.
- In the OCR action settings, choose an action based on the number of characters in the file to be read, and specify the items to extract, the AI model to use, and the language to read.
- In the text generation action settings, choose an action based on the number of characters in the FAQ content to generate, and specify the prompt suited for creating FAQs and the output language.
- In the Notion “Add a record” action settings, specify the database ID where the FAQ content will be added and the values to set for each property.
■Important notes
- Connect both Box and Notion to Yoom.
- The OCR AI operation is available only on the Team and Success plans. Please note that on the Free and Mini plans, the configured flow bot operation will result in an error.
- Paid plans such as the Team and Success plans include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to usage restrictions.
- Please note that OCR may not be able to read data containing more than 6,500 characters or data with small text.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits for triggers and individual operations, see below.
