When a response is submitted through Google Forms, create a PDF file with CraftMyPDF and send it to Slack

When a response is submitted through Google Forms, create a PDF file with CraftMyPDF and send it to Slack

Launch this workflow to connect CraftMyPDF & Google Forms & Slack !

■Overview

Creating PDFs manually and sharing them with relevant team members every time a response is submitted to a Google Form is time-consuming and prone to input errors. This workflow automates the entire process, from creating a PDF based on Google Forms responses to sending a notification in Slack, using integrations such as the CraftMyPDF API. Streamline this routine but essential document creation process and create an environment where you can focus on more strategic work.

■Recommended for

  • Anyone manually creating PDF documents based on Google Forms responses
  • Anyone considering automating document creation using the CraftMyPDF API
  • Anyone looking to streamline processes for accepting applications or responding to inquiries submitted through forms

■Benefits of using this template

  • Automatically execute everything from processing form responses and creating PDFs to sending notifications in Slack, reducing the time spent on manual work.
  • Eliminate manual data entry and file attachments to prevent human errors such as input mistakes and missed sharing.

■Flow

  1. First, connect Google Forms, CraftMyPDF, and Slack to Yoom.
  2. Next, select Google Forms as the trigger, set it to “When a response is submitted to the form,” and specify the form you want to automate.
  3. Then, select CraftMyPDF as the operation and set the “Create PDF File (Get File)” action. Map the form responses retrieved by the trigger to the corresponding fields in the PDF template.
  4. Finally, select Slack as the operation and set the “Send a file” action. Attach the PDF created in the previous step and configure it to be sent to any channel.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customizing this workflow

  • In the Google Forms trigger settings, specify the form you want to automate.
  • In the CraftMyPDF action, you can configure the information to embed in the PDF. You can enter fixed text or set responses from the previous Google Forms step as variables for each field.
  • In the Slack notification action, you can freely configure the destination channel and message content. In addition to fixed text, you can embed values retrieved in previous steps to personalize the message.

■Notes

  • Connect each of Google Forms, CraftMyPDF, and Slack to Yoom.
  • For details on how to retrieve responses when using Google Forms as a trigger, see below.
    See here
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest trigger interval varies depending on your plan.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • See here for details on the file sizes that can be handled by triggers and each operation.

When there is a response to a Google Form, the flow is to register the response in a Google Spreadsheet. Normally, when a response is submitted to a Google Form, the data is added to a specified Google Spreadsheet. However, in this flow, it is possible to add data to any specified Google Spreadsheet without complex settings in Google App Script. Additionally, it saves the effort of repeatedly entering data, allowing work to proceed smoothly, and records can be easily added to the Google Spreadsheet automatically, eliminating any gaps or omissions in information management.
