When a file matching specific conditions is uploaded to Box, extract data with OCR and create a customer in Stripe

When a file matching specific conditions is uploaded to Box, extract data with OCR and create a customer in Stripe

Launch this workflow to connect Box & Stripe !

■Overview

Are you tired of reviewing invoice and application form details uploaded to Box one by one and manually entering them into Stripe? Besides being time-consuming, this manual work can also lead to human errors such as data entry mistakes. With this workflow, you can seamlessly connect Box and Stripe. When a specific file is uploaded, OCR reads its contents and automatically creates a customer in Stripe, freeing you from tedious data entry.

‍

■Who should use this template

  • Anyone who manually registers customers in Stripe based on documents managed in Box
  • Anyone looking to eliminate data entry mistakes and the need for manual checks when transferring data between Stripe and Box
  • Anyone looking to automate the customer registration process and focus on more important tasks

‍

■Benefits of using this template

  • Customer registration in Stripe is automated when a file is uploaded to Box, reducing the time previously spent on manual work.
  • By eliminating manual data transfers, you can reduce the risk of human errors such as incorrect customer information and missed registrations.

‍

■How the flow bot works

  1. First, connect Stripe and Box with Yoom.
  2. Next, select Box as the trigger and set the “When a file is uploaded to a folder” action.
  3. Then, configure the branch feature so that only files matching specific conditions proceed to the subsequent steps.
  4. Next, use Box’s “Download a file” action to download the file detected by the trigger.
  5. Then, use the OCR feature’s “Read text from an image or PDF” action to extract text such as customer information from the file.
  6. Finally, configure Stripe’s “Create a customer” action to automatically create a customer based on the extracted information.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

‍

■Customization options for this workflow

  • With the branch feature, you can set conditions tailored to your processes, such as running the workflow only when the file name contains a specific phrase like “Invoice.”
  • For the Box trigger settings, specify the content ID of the folder you want to monitor for workflow execution.

‍

■Notes

  • Connect both Box and Stripe with Yoom.
  • AI operations for OCR and audio transcription are available only on the Team and Success Plans. On the Free and Mini Plans, configured flow bot operations will result in an error.
  • Paid plans such as the Team and Success Plans include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
  • Please note that OCR may not be able to read data exceeding 6,500 characters or text that is too small.
  • The branch feature is available as an operation on the Mini Plan and above. On the Free Plan, configured flow bot operations will result in an error.
  • Paid plans such as the Mini Plan include a two-week free trial. During the free trial, you can use restricted apps and features (operations).
