When a specific file is added to Box, extract data with OCR and create a customer in Paddle

When a specific file is added to Box, extract data with OCR and create a customer in Paddle

Launch this workflow to connect Box & Paddle !

■Overview

Do you use Paddle to manage customers for your subscription service and Box to store documents such as application forms, but find that manually registering customer information takes too much time and effort?
This workflow is designed to solve these challenges. When a specific file is uploaded to Box, OCR automatically extracts information from the document and registers the customer in Paddle. Eliminate tedious manual work between Paddle and Box and streamline your operations.

■Who This Template Is For

  • Anyone using Paddle and Box to manually register customers from application forms and other documents
  • Anyone manually transferring information between Paddle and Box who wants to prevent data entry errors and missed registrations
  • Anyone considering automating customer management and related routine tasks for a subscription service

■Benefits of This Template

  • When a file such as an application form is stored in Box, customer registration in Paddle is completed automatically, reducing the time previously spent on manual work
  • Eliminating manual data entry reduces the risk of human error, such as incorrect entries and missed registrations, helping improve data accuracy

■Workflow Steps

  1. First, connect Box and Paddle to Yoom
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
  3. Next, set Box’s “Download File” action as an operation to download the file detected by the trigger
  4. Next, set the OCR feature’s “Read Any Image or PDF” action as an operation to extract text information from the downloaded file
  5. Next, set up branching as an operation to route subsequent processes based on the information extracted by OCR
  6. Finally, set Paddle’s “Create New Customer” action as an operation to automatically create customer information based on the extracted data

※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.

■Customization Options

  • In the Box trigger settings, specify the ID of the folder you want to monitor
  • With the branching feature, you can freely set conditions for executing subsequent operations based on information extracted by OCR and other data
  • With the OCR feature, you can specify which information to extract from the file, such as the customer’s name and email address
  • For the action that creates a customer in Paddle, freely map information obtained from previous operations or fixed values to each field, such as the customer’s name and email address

■Notes

  • Connect both Box and Paddle to Yoom.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest available trigger interval varies by plan.
  • AI operations for OCR and audio transcription are available only on the Team and Success plans. On the Free and Mini plans, operations configured in the workflow will result in an error.
  • Paid plans, such as the Team and Success plans, include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
  • Branching is an available feature (operation) on the Mini plan and above. On the Free plan, operations configured in the workflow will result in an error.
  • Paid plans, such as the Mini plan, include a two-week free trial. During the free trial, you can use restricted apps and features (operations).
