When a file is stored in Box, add a sheet in Microsoft Excel and store it again

When a file is stored in Box, add a sheet in Microsoft Excel and store it again

Launch this workflow to connect Box & Microsoft Excel !

■Overview

Do you find it tedious to open files stored in Box in Microsoft Excel each time to edit or update them? Repetitive manual tasks can also lead to human error.

With this workflow, uploading a file to Box triggers everything from adding a sheet in Microsoft Excel to saving the file back to Box. This helps solve challenges in coordinating Box and Excel while improving operational accuracy.

■Recommended for

  • Anyone who uses Box and Microsoft Excel regularly and struggles with manual data integration
  • Anyone looking to streamline file management in Box and data aggregation tasks in Excel
  • Anyone who wants to prevent file management tasks from becoming dependent on specific individuals by integrating Box and Excel

■Benefits of using this template

  • Processing starts automatically when a file is uploaded to Box, freeing up the time previously spent manually updating files in Microsoft Excel for other tasks
  • Eliminating manual file transfers and updates between Box and Excel helps prevent human errors such as forgetting to save files or missing updates

■Flowbot steps

  1. First, connect Box, Microsoft Excel, and OneDrive to Yoom
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
  3. Next, configure a branching operation so the workflow proceeds to subsequent steps only under specific conditions
  4. Next, use Box’s “Download a file” action to download the file detected by the trigger
  5. Next, upload the file to OneDrive and retrieve its file ID to enable operations in Microsoft Excel
  6. Next, use Microsoft Excel’s “Add a sheet” action to add a new sheet to the file
  7. Finally, download the file with the added sheet from OneDrive and upload it to the specified folder in Box

※ “Trigger”: An action that starts a workflow. “Operation”: An action that processes data within a workflow after the trigger starts.

■Customization options

  • For branching operations, you can set any conditions, such as the file name or format, and configure the workflow to run only when a specific file is uploaded
  • When uploading a file to Box, you can set the file name and destination folder as needed. You can also use information from previous steps for flexible configurations, such as adding the processing date to the original file name

■Notes

  • Connect each of Box, Microsoft Excel, and OneDrive to Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home use and business use (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Please note that the shortest available trigger interval varies by plan.
  • Branching is an operation available on the Mini Plan and higher. On the Free Plan, the configured Flowbot operation will result in an error.
  • Paid plans such as the Mini Plan offer a two-week free trial. During the free trial, you can use apps and features (operations) that are restricted on the Free Plan.
