■Overview
Managing customers in Paddle and files in Box is highly convenient, but connecting these two SaaS platforms often involves manual work. In particular, manually entering the contents of application forms and other documents stored in Box into Paddle can be time-consuming and lead to input errors. This workflow streamlines the entire process by using OCR to read file contents when a file is uploaded to Box, then automatically creating a customer record in Paddle.
■Who This Template Is For
- Anyone using Box and Paddle who wants to automate manual information entry between the two apps
- Anyone manually transferring information from PDFs and other files stored in Box to Paddle
- Anyone looking to improve administrative efficiency when managing customers for subscription services
■Benefits of Using This Template
- Save the time previously spent on manual work by simply storing a specific file in Box to complete customer registration in Paddle
- Prevent human errors such as incorrect customer information and missed registrations by eliminating manual data entry
■Flowbot Steps
- First, connect Box and Paddle to Yoom
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
- Then, set up the “Branch” function as an operation and specify conditions so that subsequent steps run only when a specific file is uploaded
- Next, set up Box’s “Download File” action as an operation and specify the file detected by the trigger
- Then, set up the “OCR” function as an operation to extract the required information from the downloaded file
- Finally, set up Paddle’s “Create New Customer” action as an operation and create a customer by mapping the information extracted through OCR
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
- For the Box trigger and file download settings, specify the target folder or file content ID as needed
- With the Branch function, you can freely customize the conditions for running subsequent steps based on information obtained by the preceding trigger, such as the file name and file format
- With the OCR function, you can specify the text fields to extract from the target file, such as the company name and address
- When creating a customer in Paddle, freely configure which OCR-extracted information should be mapped to each field using fixed values or variables
■Important Notes
- Connect both Box and Paddle to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest available trigger interval varies by plan.
- AI operations for OCR and audio transcription are available only on the Team and Success plans. On the Free and Mini plans, configured flowbot operations will result in an error.
- Paid plans such as the Team and Success plans include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
- Please note that OCR may not be able to read data exceeding 6,500 characters or text that is too small.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file sizes that can be handled by triggers and each operation, see below.
