Let's walk through how to set up a flow that automatically summarizes meeting minutes in Notion and sends the resummary to Discord

🔧 What You’ll Need

  • A free Yoom account
  • Access to Notion and Discord

Step 1: Register Apps in Yoom

Connect Notion

Go to "My Apps" from the left side menu and click "+ Add".

⚠️ Note: Databases created after registering with Yoom cannot be linked, so make sure to prepare the database you plan to use before registering in My Apps. If you’ve already linked it with Yoom but need to use a new database, you’ll need to register in My Apps again.

Search for "Notion" from the app list and select it.

Log in with your Notion account. When the following screen appears, click "Select Pages". 

Select the page(s) to grant access to the database and click "Allowing Access".

Now your Notion is connected :) 

Connect Discord

Similarly, go to "My Apps" from the left side menu and click "+ Add".

Search for “Discord” from the app list and select it. 

Enter the account name.
Use a name that's easy to recognize, such as your company name or the person responsible for the account.

To get your access token, create a new application from the Discord Developer Portal.

Give your app a name.
Then, upload an icon image for the app.
Once you save these settings, move on to the next step by selecting Installation from the left menu.

Next, set the permissions you want to allow from Discord to Yoom.

Select the server you want to add the bot to, review the permissions, and click “Add” to complete the process.

Click “Reset Token” on the Bot page to generate a new token.

Copy the token and paste it into the corresponding field on the Yoom screen to complete the setup. 

Once you see the linked apps listed in the My Apps section, you’re all set :)

Step 2: Copy the Template

Click the "Try It" button to copy the pre-built template into your project.

Click "Try this template".

Click "OK" and assign a name to the Flowbot for recognition.

The template will be copied to your "My Project".

Step 3: Set Up Notion App Trigger

Let’s set up the trigger action first. Click on the Notion app trigger action.

The next page is already pre-configured. You can change the title if you want.

Set your trigger interval (the frequency at which Yoom checks Notion for new updates). It can be set to 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. We recommend setting the trigger to the shortest activation interval available for your plan. 

⚠️ Note: The trigger interval varies depending on your Yoom plan. Be sure to check your current plan’s limit.

Then click “Test”.
If the test is successful and you can see the retrieved value get updated. If the data is correct, click “Save”. 

Step 4: Retrieve Notion Records

Let’s set up to retrieve records. Click on the Notion action item.

Give your action a title (optional). Confirm if the settings are correct. 

Select the Database ID from the displayed options.
Once chosen, press "Next" to continue.

Define the conditions for the records you wish to retrieve.
The Record ID on the left is pre-set. For this case, we selected “Object ID” from the retrieved value of the previous action.

Once you've configured the settings as shown in the image, click the "Test" button at the bottom of the screen.
If "Test Successful" appears, the setup is complete. Be sure to save your settings.

Step 4: Create a Summary

Let’s set up the next action. Click “Summarize”.

Select the action that matches your needs and click “Next”.

Specify the text to summarize.
In this case, we want to summarize using the notes in Notion. So we’ve selected “Minutes” from the retrieved value into the input box.

Then, specify the number of characters.
The default setting is 1000 characters. Adjust this based on the length of the analysis result. While you can specify the character count, the final output will be determined by the AI. Please note that the summary may be shorter than the specified number of characters.

☝️Tip: If you want a more concise summary, you can instruct the AI with terms like "more concise" in the summary conditions.

Once configured, click "Test". If the test is successful, a summary will be generated.

Step 5: Share Summary via Discord 

Let’s share the summary you just generated through Discord. Click on the Discord action item.

This page is already set up, so click “Next”.

Enter the Channel ID by specifying the part highlighted in the red frame.

Then create a message to send to Discord. The Message can be freely adjusted by combining texts and retrieved values!

When you run a test, the summarized result will be sent to Discord. If the message is sent correctly, click “Save”.

Step 6: Activate the Flowbot

Toggle the "Trigger On" button to activate your flow!
Check if the Flowbot you set up is working properly.
