■Overview

When working with overseas offices, you may often receive PDF documents written in foreign languages. Reviewing, translating, and transcribing their contents each time can be time-consuming.
Manual translation and transcription not only take time but can also lead to errors.
This workflow automates the entire process, from uploading a PDF file to Box to extracting text with OCR, translating it with AI, and adding it to Notion.

■Flowbot Steps

  1. First, connect Box and Notion to Yoom.
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
  3. Then, set the Box “Download a file” action in an operation to retrieve the file detected by the trigger.
  4. Next, set the OCR “Read text from an image or PDF” action in an operation to extract text from the downloaded PDF.
  5. Then, set the AI “Translate” action in an operation to translate the extracted text into the specified language.
  6. Finally, set the Notion “Add a record” action in an operation to add the translated text to a database.

* “Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.

■Customization Options

  • For the OCR action, you can specify which fields in the PDF file to read text from.
  • For the AI translation action, specify the content to translate and the target language.
  • For the Notion action that adds a record, you can specify the destination database ID and freely customize the information stored in each property.

■Notes

  • Connect both Box and Notion to Yoom.
  • The AI operations for OCR and audio transcription are available only on the Team and Success Plans.
    Please note that operations configured in your Flowbot will result in an error on the Free and Mini Plans.
    Paid plans, including the Team and Success Plans, come with a two-week free trial.
    During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
  • The maximum file size available for download is 300 MB.
    Please note that the limit may be less than 300 MB depending on the app specifications.
