■Overview
If you manage tasks in ClickUp and track your schedule in Google Calendar, manually transferring task due dates to your calendar can be time-consuming, and tasks may occasionally be left unregistered. With this workflow, whenever a task is created in ClickUp, an event is automatically added to Google Calendar and a notification is sent via Gmail. This streamlines the integration between Google Calendar and ClickUp while improving the accuracy and efficiency of task management.
■Who should use this template
- Anyone who uses ClickUp and Google Calendar together and wants to eliminate the hassle of entering tasks twice
- Project managers who want to automate task due date management through Google Calendar integration and prevent missed deadlines
- Anyone who wants to visualize the due dates of team-wide tasks managed in ClickUp on a calendar
■Benefits of using this template
- Since events are automatically added to Google Calendar when tasks are created in ClickUp, you can reduce the time previously spent on manual data entry.
- Prevent human errors such as missed calendar entries and incorrect due dates caused by manual input, improving the accuracy of task management.
■Flowbot steps
- First, connect ClickUp, Google Calendar, and Gmail to Yoom.
- Next, select ClickUp as the trigger and set the action to “When a task is created.”
- Then, configure ClickUp’s “Get a task” action as an operation to retrieve the details of the created task.
- Use data transformation and calculation operations to format dates and other data for easier use in subsequent steps.
- Next, configure Google Calendar’s “Create an event” action as an operation and create an event based on the task information retrieved from ClickUp.
- Finally, configure Gmail’s “Send an email” action as an operation to notify relevant team members that the task has been added to the calendar.
* “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
- In the ClickUp trigger settings, specify the IDs of the team, space, folder, and list that you want to include in the automation.
- When creating an event in Google Calendar, you can freely assign information retrieved from ClickUp, such as the task name and details, to the event title and description.
- For notification emails sent through Gmail, you can freely configure the recipients, subject, and body. You can also include ClickUp task information in the email body.
- For operations that transform date and data formats, you can flexibly configure conversion rules to match your business requirements.
■Notes
- Connect each of ClickUp, Google Calendar, and Gmail to Yoom.
- To create a Flowbot with more than five operations, you need to use the Mini plan or higher. Please note that Flowbots will not run on the Free plan.
