Attach files to Zendesk ticket comments when they are uploaded to Box

Attach files to Zendesk ticket comments when they are uploaded to Box

Launch this workflow to connect Box & Zendesk !

■Overview

When using Box and Zendesk together, do you find it time-consuming to upload files received during customer support interactions to Box and then manually attach them to Zendesk tickets? As the number of support requests increases, this manual process becomes more burdensome and can lead to mistakes such as missing attachments.
With this workflow, whenever a file is uploaded to a specific Box folder, it is automatically attached to the related Zendesk ticket, making file sharing between Box and Zendesk seamless.

■Who This Template Is For

  • Customer support representatives who manually attach files saved in Box to Zendesk tickets
  • Team leaders looking to streamline support operations using Box and Zendesk while reducing manual errors
  • Anyone who wants to automate file management for customer support and build a faster, more accurate support process

■Benefits of Using This Template

  • Files are automatically attached to Zendesk tickets when added to Box, reducing the time spent manually searching for and uploading files
  • Prevent human errors such as missing attachments or attaching files to the wrong ticket, helping improve the accuracy of customer support

■Workflow

  1. First, connect Box and Zendesk to Yoom
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
  3. Then, set the Box “Download File” action as an operation to retrieve the file detected by the trigger
  4. Next, set the Zendesk “Upload File” action to upload the downloaded file to Zendesk
  5. Finally, set the Zendesk “Attach File to Ticket Comment” action to attach the file to the relevant ticket

※“Trigger”: An action that initiates the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.

■Customization Options

  • In the Box trigger settings, specify the content ID of the folder you want to monitor
  • When attaching a file to a Zendesk ticket comment, you can freely configure fields such as the ticket ID and comment body by referencing information obtained from previous operations

■Notes

  • Connect both Box and Zendesk to Yoom.
  • Zendesk is available only on the Team and Success plans. Please note that on the Free and Mini plans, operations and data connections in workflows configured with Zendesk will result in errors.
  • Paid plans, including the Team and Success plans, come with a 2-week free trial. During the free trial, you can use apps that are restricted on other plans.
