Attach a file to a Zendesk ticket comment when a specific file is uploaded to Box

Attach a file to a Zendesk ticket comment when a specific file is uploaded to Box

Launch this workflow to connect Box & Zendesk !

■Overview

Do you find it time-consuming to manually attach files uploaded to Box to Zendesk tickets one by one? This repetitive task not only takes time but can also lead to mistakes, such as forgetting to attach a file or attaching it to the wrong ticket.

With this workflow, you can seamlessly connect Box and Zendesk so that whenever a file is uploaded to a specific folder, it is automatically attached to a Zendesk ticket comment.

■Who Should Use This Template

  • Customer support professionals who use Box and Zendesk for customer support and information sharing
  • Team leaders who want to reduce the time spent manually attaching files and minimize human error
  • Anyone looking to streamline department-wide processes by connecting SaaS applications

■Benefits of Using This Template

  • Automate everything from uploading a file to Box to attaching it to Zendesk, freeing up time for other tasks.
  • Prevent human errors such as forgetting to attach files or attaching them to the wrong ticket, improving operational accuracy.

■How the Flowbot Works

  1. First, connect Box and Zendesk to Yoom.
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
  3. Use the branching feature to set conditions so that subsequent steps run only when a specific file is uploaded.
  4. Next, set the Box “Download a file” action as an operation to retrieve the file detected by the trigger.
  5. Then, set the Zendesk “Upload a file” action as an operation.
  6. Finally, set the Zendesk “Attach a file to a ticket comment” action to attach the file to the target ticket.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • In the Box trigger settings, specify the folder you want to include in the automation using its content ID.
  • With the branching feature, you can freely customize the conditions for running subsequent steps based on information retrieved from Box, such as the file name and file format.
  • In the Zendesk file attachment operation, you can reference information retrieved in previous steps and specify details such as the ticket ID to which the file should be attached.

■Notes

  • Connect both Box and Zendesk to Yoom.
  • Branching is available on the Mini Plan and above, while Zendesk is available only on the Team Plan and Success Plan. On the Free Plan and Mini Plan, the configured Flowbot operations and Data Connect will result in errors, so please take note.
  • Paid plans such as the Team Plan and Success Plan include a two-week free trial. During the free trial, you can use apps that are otherwise subject to plan restrictions.
