■Overview
Do you find it time-consuming to review requests received in Airtable one by one and register them as tasks in Asana? In particular, determining the assignee and deadline based on the request details can take a significant amount of time. With this workflow, adding a record to Airtable triggers AI to analyze the details and automatically create a task in Asana, helping you eliminate these challenges. Use it as an efficient way to create tasks by integrating Airtable with Asana.
■Who Should Use This Template
- Anyone who uses Airtable and Asana and currently handles the process from receiving requests to creating tasks manually
- Anyone who wants to automatically create Asana tasks based on requests received in Airtable
- Project leaders who want to streamline task management operations such as reviewing requests and assigning tasks
■Benefits of Using This Template
- Asana task creation is automated when a record is added to Airtable, reducing the time spent manually transferring and reviewing information.
- AI analyzes the request details to determine the assignee and priority, standardizing task assignment and reducing reliance on specific team members.
■Flowbot Workflow
- First, connect Airtable and Asana to Yoom.
- Next, select Airtable as the trigger and set the action to “When a record is added.”
- Finally, set up an AI Worker as an operation and create a manual (instruction) that automatically analyzes the Airtable request details, determines priority based on urgency and importance, selects an assignee, sets a deadline, and adds the task to Asana.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
■Customization Options
- In the Airtable trigger settings, specify the base ID and table ID to connect. You can also customize the field name used to determine when the record was created.
- For the AI Worker, you can customize the manual (instructions) to match your operations, including rules for selecting task assignees and setting deadlines.
■Notes
- Connect both Airtable and Asana to Yoom. You must also connect the tools (apps) used within the AI Worker to My Apps.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest available trigger interval varies by plan.
- Airtable outputs can be retrieved using JSONPath.
- For basic AI Worker setup instructions, see “[AI Worker] How to Configure Basic Settings.”
- The number of AI Workers that can run simultaneously, the number of AI Workers you can create, and the AI models available to you vary by plan.
- Apps and operations available within AI Workers are subject to the same usage limitations as Flowbots.
- Please note that AI Workers consume tasks during test runs in the same way as they do during production runs. For details, see “[AI Worker] How Task Execution Counts Are Calculated.”
- AI Workers are more likely to perform the appropriate processing when you provide detailed manuals. For details, see “[AI Worker] How to Create a Manual.”
