■Overview
Reviewing each inquiry submitted through Google Forms and manually transferring those identified as incidents to a Notion management page is time-consuming and may increase the risk of missed responses.
With this workflow, AI analyzes each response when a Google Forms submission is received and automatically adds the information to Notion if it is determined to be an incident, helping resolve these challenges.

■Who This Template Is For
- Teams using Google Forms and Notion to manage inquiries and incidents
- Teams looking to reduce manual data entry and prevent incidents from being overlooked
- IT administrators who want to automate their operations but are exploring how to implement it
■Benefits of Using This Template
- After a response is submitted through Google Forms, AI analyzes it and automatically adds the information to Notion, reducing manual work and enabling faster responses.
- Because manual data entry and decision-making are eliminated, this workflow helps prevent human errors such as input mistakes and missed incidents.
■Workflow Steps
- First, connect Google Forms and Notion to Yoom.
- Next, select Google Forms as the trigger, configure the “When a response is submitted to the form” action, and specify the form used to receive inquiries.
- Then, configure the “Generate text” action under AI features and instruct it to determine whether the Google Forms response qualifies as an incident.
- Next, configure the branching feature and split the subsequent process based on the AI’s decision, such as whether the response is or is not an incident.
- Finally, configure Notion’s “Add a record” action and add the information to the specified database when the response is determined to be an incident.
※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.
■Customization Options
- In the AI feature settings, you can customize the prompt used to identify incidents to improve accuracy. For example, enter keywords used as decision criteria as fixed values or insert the response collected from Google Forms as a variable.
- In the branching settings, you can define conditions for adding a record to Notion based on the text generated by AI, such as “when the text contains specific text” or “when the text exactly matches specific text.”
- For Notion’s “Add a record” action, you can customize the settings by assigning values collected in earlier workflow steps, such as Google Forms responses and AI decision results, to the destination database and its properties, or by entering fixed values.
■Notes
- Connect both Google Forms and Notion to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest trigger interval varies depending on your plan.
- For information on how to retrieve response details when using Google Forms as a trigger, see How to Retrieve Response Details with the Google Forms Trigger.
- Branching is an operation available on the Personal plan and higher. On the Free plan, operations configured in workflows that use branching will result in an error.
- Paid plans, including the Personal plan, offer a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to restrictions. For details, see the Pricing Plans page.
