■Overview
After creating meeting notes or project plans in Confluence, manually transferring related events to Google Calendar is time-consuming and can lead to omissions. This manual process can also make it harder to share information across the team.
With this workflow, when a specific page is created in Confluence, AI automatically summarizes its content and adds the event to Google Calendar, streamlining information sharing.
■Who This Template Is For
- Anyone who uses Confluence and Google Calendar together and finds manually transferring information time-consuming
- Anyone who wants to reflect meeting notes and project information in Google Calendar to streamline team communication
- Team leaders who want to prevent missed information and improve project management accuracy
■Benefits of This Template
- Automatically create an event in Google Calendar when a page is created in Confluence, reducing the time spent manually transferring and registering information
- Eliminate manual data transfer to help prevent human errors, such as incorrect event dates, times, or details, as well as missed registrations
■Workflow Steps
- First, connect Confluence and Google Calendar to Yoom
- Next, select Confluence as the trigger and set the action to “When a page is created”
- Set up branching in the operation so that subsequent steps run only when specific conditions are met
- Set the Confluence “Get a page” action in an operation to retrieve information about the page obtained by the trigger
- Set up the AI features “Extract data from text” and “Summarize” in operations to extract and summarize the necessary information from the retrieved page content
- Finally, set the Google Calendar “Create an event” action and use the information generated by AI to create the event
※“Trigger”: An action that initiates a workflow. “Operation”: An action that processes data within a workflow after the trigger runs
■Customizable Points
- In the Confluence trigger settings, set the target cloud ID as needed
- For branching, you can set custom conditions to determine which subsequent steps run based on information such as the Confluence page title or labels
- In the Confluence “Get a page” operation, use the page ID obtained by the trigger or other values as variables to dynamically specify the page to retrieve
- For AI text extraction, set the Confluence page content as a variable and specify the items to extract, such as the event title and date and time
- For AI summarization, use the Confluence page content as a variable and customize the summarization conditions as needed
- When creating an event in Google Calendar, use the text extracted and summarized by AI as a variable and add it to fields such as the event title and description as needed
■Notes
- Connect both Confluence and Google Calendar to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Mini plan and above. On the Free plan, operations configured in workflows that use branching will result in errors.
- Paid plans, such as the Mini plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
- Workflows with more than five operations can be configured on the Mini plan and above. On the Free plan, the workflow will not run.
