When a task is completed in Asana, delete it at a specified time and send a notification in Slack

Launch this workflow to connect Asana & Slack !

■Overview

Are completed tasks piling up in Asana, making manual organization a hassle? Sharing task deletions with your team can also feel like extra work. With this workflow, tasks are automatically deleted after a specified period once they are completed in Asana, and Slack sends a notification when the deletion is complete. Keep your project board organized and streamline information sharing across your team.

■Who Is This Template For?

  • Project managers who are struggling to organize an increasing number of completed tasks in Asana manually
  • Anyone who wants to connect Asana and Slack to streamline task status updates
  • Anyone who wants to reduce the time spent on regular task organization and focus on core work

■Benefits of Using This Template

  • Automate completed task deletion and Slack notifications to reduce the time spent organizing tasks manually.
  • Prevent human errors, such as forgetting to delete tasks or notify the team, for more reliable project management.

■How the Flow Bot Works

  1. First, connect Asana and Slack with Yoom.
  2. Next, select Asana as the trigger and set the action to “When a task in a specific project is completed.”
  3. Add a wait operation and set how long to wait between task completion and deletion.
  4. Then, set the “Delete a task” action for Asana as an operation, and specify the task retrieved by the trigger for deletion.
  5. Finally, set Slack’s “Send a message to a channel” action as an operation to notify a selected channel that the task has been deleted.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • In the Asana trigger settings, specify the workspace ID and project ID you want to include in the automation.
  • With the wait operation, you can freely customize how long to wait before deleting a task, such as “1 hour later” or “3 days later.”
  • For Slack notifications, you can select any channel to receive the message. You can also insert information retrieved in previous steps as variables, such as the completed task name.

■Notes

  • Connect both Asana and Slack with Yoom.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest trigger interval varies by plan.
  • Operations between “Wait” operations are available only on the Team and Success plans. On the Free and Mini plans, the configured flow bot operations and data connections will result in errors.
  • Paid plans, such as the Team and Success plans, include a 2-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
