■Overview

Analyze PDF files stored in Google Drive, add them to the database, and notify the chat.

By adding a request to the person in charge during the process, more reliable data addition is enabled.

Preparation

Set the column names of the information in the PDF that you want to add to the Yoom database in advance.

*Column names refer to items like these: "Company Name," "Name," "Email Address," etc.

Creation Method

① Select the app trigger from the trigger and choose Google Drive.

② Select the action where files/folders are stored in a specific folder, and set the activation interval and target folder ID on the next page.

③ Store a PDF in the specified folder as a test in the same format you want to retrieve, return to Yoom, perform a trigger test, and save it once retrieval is confirmed.

④ Press the + mark under the trigger and select Google Drive from the operations that integrate with the app.

⑤ Set the action to download image/PDF files, click the file ID field on the next page, select the trigger from the displayed output, and embed the file ID obtained by the trigger like {{FileID}}. This allows you to use the retrieved file ID dynamically.

⑥ Press the + mark and select the operation to read text from images/PDFs.

⑦ Select "Read image/PDF file" from the action and proceed to the next step.

⑧ In the file attachment method, select "Use retrieved value" and set the file obtained in step ⑤ from the options.

⑨ Enter the item name of the string obtained from the PDF for any additional items you want to extract.

*Please note that due to AI specifications, complex retrievals such as entire file strings or multiple lines may not work well.

*Refer here for detailed setting methods. https://intercom.help/yoom/ja/articles/8679686

⑩ Perform a test, confirm if the value is retrieved, and save it.

⑪ Press the + mark and select the operation to request a response from the person in charge.

⑫ Set any person in charge, click the message field, and embed the value obtained in step ⑩ like {{●●}}. This allows you to display the retrieved value directly in the request to the person in charge, similar to step ⑤.

⑬ Click "Add form" and directly enter the item name obtained in step ⑩ in the field. This allows you to carry over the output obtained in step ⑩ or use the value modified by the person in charge.

*Refer here for output carryover. https://intercom.help/yoom/ja/articles/6780877

⑭ Press the + mark, select Yoom from "Operate database," choose the pre-prepared table, and set the action to add a record.

⑮ On the next page, the pre-set column names will be displayed, so click each column name field and enter the items obtained in the operation to request a response from the person in charge in step ⑬ in the corresponding column name.

⑯ Press the + mark, select LINE WORKS from "Integrate with app," and choose the action to send a message to the talk room.

⑰ On the next page, set the BotID and talk room ID, and complete the settings by providing any content for the message.
