■Overview
Regularly compiling responses collected through Google Forms, creating easy-to-read reports in Gamma, and sharing them with stakeholders via Gmail can be a time-consuming task precisely because it needs to be done on a recurring basis. Manually compiling data and creating reports takes time and can easily lead to mistakes such as forgetting to send them. This workflow solves these challenges by automating the entire process, from generating reports in Gamma to sending them automatically via Gmail according to your schedule.
■Who should use this template
- Anyone who finds it time-consuming to regularly compile and report on Google Forms responses
- Anyone who wants to streamline reporting by generating reports in Gamma and sending them automatically via Gmail
- Anyone who wants to prevent omissions and errors when manually creating and sharing reports, and improve operational reliability
■Benefits of using this template
- Reduce the time spent on manual work by automatically retrieving form responses, generating reports, and sending them via Gmail according to your schedule.
- Help prevent human errors such as manual data entry mistakes and forgetting to attach or send reports generated in Gamma.
■Flowbot steps
- First, connect Gamma, Gmail, and Google Forms to Yoom.
- Select the schedule trigger and set the date, time, and repeat interval for starting the flow.
- Select Google Forms in the operation step, then use the “Get a list of responses (specify response period)” action to retrieve the responses to include in the report.
- Next, use the AI feature’s “Extract text” action to extract and summarize the information needed to create the report from the retrieved response data.
- Configure Gamma’s “Generate Gamma” action to create a report based on the extracted text.
- Because report generation may take some time, configure the wait feature to pause for a set amount of time.
- Use Gamma’s “Get generated file URL” action to retrieve the URL of the completed report.
- Finally, use Gmail’s “Send an email” action to send an email to the specified recipients with the report URL included in the message body.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
■Customization options
- When configuring the schedule trigger, set the frequency (daily, weekly, monthly, etc.) and specific date and time for generating and sending reports.
- In Gmail’s email-sending action, configure the recipients (To, Cc, Bcc) and subject to match your actual workflow. You can freely customize the message body by embedding the output of the report URL generated in Gamma, adding a template message, and more.
■Notes
- Connect Google Forms, Gamma, and Gmail to Yoom.
- The “Wait” operation is available only on the Team and Success plans. On the Free and Mini plans, operations and data connections in configured Flowbots that require this feature will result in an error.
- Paid plans, such as the Team and Success plans, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
- Google Forms outputs can be retrieved using JSONPath. For details, see How to add values to retrieve.
