■Overview

Analyze the business card image data answered in the form and store the data in Google Sheets.

Additionally, automatically send emails to specified recipients.

By adding a person in charge request in the process, more reliable data addition and email sending are enabled.

Preparation

・Pre-set the column names of the business card information you want to add to Google Sheets.

※Column names refer to items like these: "Company Name," "Name," "Department/Position," "Address," "Phone Number," "Email Address," etc.

■Creation Method

①Select the form trigger from the triggers.

②Prepare a file-type question for answering business card data and a text-type question for entering the form respondent's email address in the form's question items.

③In the next screen, store and input demo business card data and address as a sample and save it.

④Press the + mark under the trigger and select the operation to read text from images/PDFs.

⑤Select "Read Business Card Information" from the actions and proceed to the next step.

⑥In the file attachment method, select "Use Retrieved Value" and set the response item to store business card data set in the form trigger from the candidates.

⑦For additional items to extract, the following are obtained by default. If you want to add other values, please input the items additionally.

※Default obtained items: "Company Name," "Name," "Department/Position," "Address," "Phone Number," "Email Address"

※If the above default items are not included in the business card, they will be obtained as empty or with a value like Not Provided.

⑧Conduct a test to confirm whether the values were obtained and save it.

⑨Press the + mark and select the operation to request a person in charge to respond.

⑩Set an arbitrary person in charge, click the message field, and embed the values obtained in test ⑧ as they are, like {{Company Name}}. By doing this, the obtained values are displayed as they are in the person in charge request.

※It is also possible to specify the person in charge by email address (external users can be specified) in the person in charge item, and dynamically embed the email address obtained in trigger test ③, allowing the respondent to verify whether the business card information analyzed from the image is correct.

⑪Click Add Form and directly input the item names obtained in ⑧ into the items. By doing this, it is possible to carry over the output obtained in ⑧ or use the values corrected by the person in charge.

⑫Press the + mark, select Google Sheets from Database Operations, then select the pre-prepared sheet and set the add record action.

⑬On the next page, the pre-set column names will be displayed, so click the field of each column name and input the items obtained in the operation to request a person in charge to respond in ⑪ into the corresponding column name.

⑭Press the + mark and select any email tool from the operation to send emails.

⑮On the next page, set the email address obtained in ⑪ in the To field, and set any message in the subject and body, then save to complete the setup.
