■Overview
Do you manually check whether files are attached to events shared via Google Calendar and notify Microsoft Teams? These routine tasks are not only time-consuming but also prone to mistakes, such as missing information when sharing. With this workflow, adding an event to Google Calendar triggers an automatic check for attached files and sends a notification to Microsoft Teams. Eliminate manual communication tasks and enable smoother information sharing.
■Recommended for
- Anyone looking to reduce the effort of sharing Google Calendar events and attached files via Microsoft Teams
- Team leaders who want to automate file management across multiple cloud storage services
- Project managers who want to prevent missed or delayed information sharing and streamline team collaboration
■Benefits
- Simply add an event to Google Calendar to automatically extract information, save files, and send notifications to Microsoft Teams—reducing the time spent on manual tasks.
- Prevent human errors such as forgetting to save files or missing key stakeholders when sharing information, ensuring reliable information flow.
■Flow
- First, connect Google Drive, Google Calendar, Microsoft Teams, and OneDrive to Yoom.
- Select Google Calendar as the trigger and set the action to “When an event is created.”
- Next, set up a “Branch” operation to determine whether the calendar event has an attached file and route the subsequent process accordingly.
- If a file is attached, set up Google Drive’s “Download a file” action, then use OneDrive’s “Upload a file” action to save it in the designated folder.
- Next, use the AI feature’s “Extract data from text” action to extract the required information from the event details.
- Finally, set up Microsoft Teams’ “Send a message to a channel” action to send the extracted information and file details to the specified channel.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
■Customization options
- For Google Drive’s “Upload a file” action, set the ID of the destination folder.
- For OneDrive’s “Upload a file” action, set the drive ID where the file will be saved and the item ID of the destination folder.
■Notes
- Connect Google Calendar, Microsoft Teams, Google Drive, and OneDrive to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Microsoft 365 (formerly Office 365) offers home and business plans (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
- Branching is an operation available on the Personal plan and above. On the Free plan, operations configured in the flow bot will result in an error.
- Paid plans, such as the Personal plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are restricted by plan.
- Downloadable files can be up to 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on file size limits for triggers and individual operations, see File size limits.
