When a specific message is sent in Microsoft Teams, retrieve events from Google Calendar, use AI to create a sales list, and send a notification

Launch this workflow to connect Microsoft Teams & Google Calendar !
■Overview
Manually checking Google Calendar after receiving a specific message in Microsoft Teams can be time-consuming and may take you away from your core work.
With this workflow, a Microsoft Teams message triggers the retrieval of relevant information from Google Calendar.
AI then automatically generates and sends a sales list, helping resolve these challenges.
■Who Is This Template For?
  • Anyone looking to streamline sales activities using Microsoft Teams and Google Calendar
  • Anyone interested in using AI to automate sales list creation and speed up information gathering
  • Anyone struggling with manually transferring information or sending notifications
■Benefits of Using This Template
  • Automate everything from receiving a specific Microsoft Teams message to creating and sending a sales list, reducing the time spent on manual work.
  • Automated processing helps prevent human errors such as data entry mistakes and missed checks, improving the accuracy of your sales lists.
■Flow Bot Workflow
  1. First, connect Microsoft Teams and Google Calendar with Yoom.
  2. Select Microsoft Teams as the trigger and set the action to “When a message is sent to a channel.”
  3. Next, configure the branching function to split the workflow based on specific conditions.
  4. Then, select “Generate text” using the AI feature and configure it to generate the date one week from now.
  5. Next, set the Google Calendar operation to “Get a list of events.”
  6. Configure the AI feature “Generate text” again to create text such as a sales list using the retrieved calendar information and data from previous steps.
  7. Finally, set the Microsoft Teams operation to “Send a message to a channel” and notify users of the generated content.
※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.
■Workflow Customization Options
  • With the branching function, you can configure and add conditions to determine whether subsequent steps should run based on the content of messages received in Microsoft Teams, such as whether they contain specific keywords or were sent by a specific user.
  • When generating text with the AI feature, you can insert information such as the Microsoft Teams message retrieved by the trigger and event details retrieved from Google Calendar into the prompt as variables to create dynamic sales lists and notification messages.
  • For Microsoft Teams notifications, you can specify the destination channel and users to mention. You can also use content generated by the AI feature in previous steps or information retrieved in other steps as variables to create messages tailored to each situation.
■Notes
  • Connect both Microsoft Teams and Google Calendar with Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home users and businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest available trigger interval varies by plan.
  • Downloadable files can be up to 300 MB. Depending on the app's specifications, the limit may be less than 300 MB.
  • For details on the file size limits for triggers and individual operations, see File Size Limits.
  • Branching is available as a feature (operation) on the Personal plan and higher. On the Free plan, operations configured in your flow bot will result in an error.
  • Paid plans, including the Personal plan, offer a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise restricted. For details, see the Pricing Plans page.
