Create a Google Meet meeting space when an Asana task is moved to a specific section

Create a Google Meet meeting space when an Asana task is moved to a specific section

Launch this workflow to connect Asana & Google Meet !

■Overview

Have you ever needed to schedule an urgent meeting about a task managed in Asana?
Manually creating a Google Meet meeting URL each time and adding it to the Asana task is time-consuming and can lead to missed updates.

With this workflow, whenever an Asana task is moved to a specific section, a Google Meet meeting space is automatically created and the URL is added as a comment on the task. This enables smooth operations by connecting Asana and Google Meet.

■Who should use this template

  • Anyone who manually manages tasks in Asana and schedules meetings in Google Meet
  • Anyone who wants to streamline operations by scheduling online meetings smoothly based on task progress
  • Anyone who wants to improve team communication by connecting Asana and Google Meet

■Benefits of using this template

  • Automating meeting space creation and URL sharing based on Asana task updates reduces the time previously spent on manual work
  • Eliminating manual URL creation and copying prevents human errors such as pasting the wrong meeting URL or forgetting to share it

■Workflow steps

  1. First, connect Asana and Google Meet to Yoom
  2. Next, select Asana as the trigger and set the action to “When a task is created or updated in a specific project”
  3. Then, configure Asana’s “Get task details” action as an operation to retrieve information about the updated task
  4. Next, use the branching feature in the operations to ensure that subsequent actions run only when the retrieved task has been moved to a specific section
  5. Then, configure Google Meet’s “Create a meeting space” action as an operation
  6. Finally, configure Asana’s “Add a comment to a task” action as an operation to automatically post the created meeting URL to the relevant task

※“Trigger”: An action that starts the workflow; “Operation”: An action that processes data within the workflow after the trigger runs

■Customization options

  • In the branching settings, define the conditions for when a meeting should be created, such as which section the task must be moved to
  • With the Asana comment operation, you can freely customize the comment content and insert information such as the meeting URL created in Google Meet as variables

■Notes

  • Connect each of Asana and Google Meet to Yoom.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Available minimum trigger intervals vary by plan.
  • Branching is an operation available on the Mini Plan and above. On the Free Plan, operations configured in workflows that use branching will result in an error.
  • Paid plans, including the Mini Plan, offer a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
