Mark an Asana task as incomplete when a specific emoji reaction is removed in Slack

Mark an Asana task as incomplete when a specific emoji reaction is removed in Slack

Launch this workflow to connect Slack & Asana !
■Overview
Do you use Slack reactions to manage Asana tasks, but find it time-consuming to fix accidental reactions or handle follow-up work when they’re removed? Manual handling can also lead to missed corrections.
With this workflow, you can detect when a specific reaction is removed from a Slack message and automatically undo the task completion action triggered when the reaction was added. This makes it easy to revert unintended status changes in task management linked to Slack reactions.
■Who should use this template
  • Teams managing Asana tasks using Slack reactions
  • Those who find it challenging to manually handle follow-up work when reactions are removed from Slack messages
  • Team leaders who want to prevent task management inconsistencies caused by accidental reactions or reaction removal
■Benefits of this template
  • When a reaction is removed from a Slack message, moving the related Asana task and reverting its status are automated, reducing the time spent on manual corrections
  • Prevent human errors such as missed manual updates and resulting task status inconsistencies, helping maintain accurate task management
■Workflow steps
  1. First, connect Slack and Asana with Yoom
  2. Next, select Slack as the trigger and set the action to “When a reaction is removed from a message”
  3. Set up a branch in the operation and specify conditions so the workflow proceeds only when a specific reaction is removed
  4. Next, use Slack’s “Get a specific message” action to retrieve details of the message from which the reaction was removed
  5. Use the AI feature to create a prompt (instruction) that extracts the information required to search for the Asana task from the retrieved message text
  6. Next, use Asana’s “Search tasks” action to find the relevant task based on the extracted information
  7. Use Asana’s “Update task” action to undo completion of the task found in the search
  8. Finally, use Slack’s “Send a message to a channel” action to notify the relevant people that the task update is complete
※ “Trigger”: An action that starts the workflow; “Operation”: An action that processes information within the workflow after the trigger runs
■Customization options
  • In Slack, you can set any channel ID as the channel to monitor or use for notifications
  • In the branching feature, you can freely customize the conditions for running the workflow based on information obtained in previous steps, such as the type of reaction removed (reaction name)
  • With the AI feature, you can set custom instructions to extract keywords required for searching Asana tasks from Slack messages
  • For each Asana action, you can set the target workspace ID, search keywords, and other values as needed, and also reference values obtained in previous operations
■Notes
  • Connect both Slack and Asana with Yoom
  • Branching is an operation available on the Mini plan and above. On the Free plan, configured workflow operations will result in errors
  • Paid plans such as the Mini plan include a 2-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions
  • This automation workflow can be combined with a flow that completes a task when a reaction is added, allowing you to manage the execution and reversal of actions as one continuous process. Use it together with the “Complete an Asana task when a specific reaction is added in Slack” template for more effective operation.
