When a new ticket is created in Zendesk, an AI worker drafts a response based on your Notion knowledge and replies automatically.

When a new ticket is created in Zendesk, an AI worker drafts a response based on your Notion knowledge and replies automatically.

Launch this workflow to connect Notion & Slack & Zendesk !
■Overview
Handling customer support inquiries requires accurate responses, but it can also place a significant workload on support teams. Even when past response histories and FAQs are available, manually reviewing them and drafting replies can lead to delayed responses and inconsistent quality. With this workflow, whenever a new inquiry arrives in Zendesk, an AI worker automatically references the knowledge stored in Notion, generates the best possible response, and sends the reply. This allows you to make effective use of your existing knowledge while improving response times and reducing the workload on your support team.

■Who This Template Is For
  • Support professionals who want to streamline and automate customer support operations using Zendesk
  • Team leaders who manage product specifications and FAQs in Notion and want to maintain consistent response quality by leveraging that information
  • Business leaders who want to make effective use of accumulated knowledge, reduce support desk workload, and build a more efficient organization

■Benefits of This Template
  • Because the AI generates response drafts based on information in Notion for inquiries received in Zendesk, you can shorten response times for customers.
  • By generating responses based on accurate knowledge stored in Notion, the AI helps maintain consistent response quality and reduce differences in knowledge between support representatives.

■Flowbot Steps
  1. First, connect Zendesk, Notion, and Slack to Yoom.
  2. Next, select Zendesk as the trigger and set the action to “When a ticket is created.”
  3. Then, create a manual (instruction) for the AI worker to draft responses to customer inquiries based on knowledge in Notion.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes information within the flow after the trigger starts.

■Customization Options
  • In the AI worker’s manual settings, customize the instructions in detail, including the tone of the responses and how to handle inquiries containing specific keywords.
  • Specify the Notion knowledge source as a specific database or page containing FAQs and manuals to generate more accurate response drafts.
  • For Slack notifications, customize the destination channel and message content so that a support representative can review the AI-generated response draft first.

■Notes
  • Connect each of Zendesk, Notion, and Slack to Yoom. The tools (apps) used within the AI worker must also be connected through My Apps.
  • You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Note that the shortest available trigger interval varies by plan.
  • Zendesk is available on the Mini plan and above. On the Free and Personal plans, operations and Data Connects in configured Flowbots will result in errors.
  • Paid plans such as the Mini, Team, and Success plans include a two-week free trial. During the free trial, you can use apps that are otherwise subject to restrictions.
  • For basic AI worker settings, see “[AI Worker] How to Configure Basic Settings.”
  • The number of AI workers that can run simultaneously, the number of AI workers you can create, and the AI models available to you vary by plan.
  • The apps and operations available within AI workers are subject to the same usage limits as Flowbots.
  • AI workers consume tasks during test runs just as they do during production runs. For details, see “[AI Worker] How Task Execution Counts Are Calculated.”
  • AI workers are more likely to perform the appropriate processing when their manuals are configured in detail. For details, see “[AI Worker] How to Create a Manual.”
