■Overview
Do you find it time-consuming to manually notify Microsoft Teams whenever an Asana task is updated to share project progress with your team? Missed or delayed notifications can also become a bottleneck. With this workflow, updates to Asana tasks automatically trigger notifications in Microsoft Teams, helping you resolve these challenges smoothly and share information faster.
■Who should use this template
- Teams using Asana and Microsoft Teams for project management and collaboration
- Those looking to automate task update notifications and streamline communication
- Team leaders who want to prevent missed or delayed updates caused by manual communication and improve operational reliability
■Benefits of using this template
- Asana task updates are automatically sent to Microsoft Teams, reducing the time and effort required to share information so you can focus on other work.
- Prevent missed notifications and errors caused by manual work, reliably share important task updates with your team, and reduce the risk of human error.
■How the Flowbot works
- First, connect Asana and Microsoft Teams to Yoom.
- Next, select Asana as the trigger and set the action to “When a task is created or updated in a specific project.” This starts the flow whenever a task changes in the specified Asana project.
- Then, select “Branching” as the operation and set “Branch | Determine whether the task was created or updated.” This identifies whether the task is new or an existing task was updated, allowing subsequent steps to change based on the result.
- Finally, set Microsoft Teams’ “Send a message to a channel” action as the operation and send the Asana task details to the specified channel.
※“Trigger”: An action that starts the flow. “Operation”: An action that performs processing within the flow after the trigger starts.
■Customization options
- In the operation that sends a message to Microsoft Teams, you can select any channel as the destination.
- You can also customize the Microsoft Teams notification message flexibly. In addition to setting fixed text, you can insert information retrieved from Asana in the previous step—such as the task name, assignee, and due date—as variables.
■Notes
- Connect both Asana and Microsoft Teams to Yoom.
- Microsoft 365 (formerly Office 365) offers plans for home use and businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Personal plan and higher. On the Free plan, configured Flowbot operations that use branching will result in an error.
- Paid plans such as the Personal plan include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions.
